However many of the engineering drawings within the archive are very physically fragile and therefore may be temporarily unavailable until conservation work is carried out. Where items form this archive have been microfilmed, access is gained through the microfilm surrogate.

The original order of the archive has been difficult to ascertain. Therefore each constituent company has been identified as a sub fonds, within which the records are divided into series reflecting the nature of the record. The sub fonds are identified as follows, NBL/1 Clyde Locomotive Company/Sharp Stewart Locomotive Company, NBL/2 Neilson & Company/Neilson Reid & Company, NBL/3 Dubs & Company and NBL/4 North British Locomotive Company.
